Quoting

Send a priced quote before you leave the driveway

Build a quote line by line on your phone while you are still standing in the customer's laundry. GST is calculated as you type, the customer gets a link they can accept with one tap, and an accepted quote becomes a job without you re-typing a thing.

  • Line items with GST handled. Add labour and materials as separate lines with quantities and unit prices. GST is applied at your registered rate and shown separately, so the quote is compliant from the first draft.
  • Accept or decline with one tap. The customer opens a clean web page — no PDF to download, no account to create — and chooses. Their answer lands in your pipeline immediately.
  • Expiry dates that stick. Set a valid-until date and the quote shows as expired once it passes, so material price rises are never your problem to absorb.

Job management

One card per job, with everything that happened on it

Every job gets a single card that holds the tasks, the hours, the materials, the site notes, and the photos. When the job is done, that card becomes the invoice — which is why the invoice is right the first time.

  • Tasks your crew can tick off. Break the job into steps and let whoever is on site mark them done. You can see progress without ringing anyone.
  • Time and materials captured on the day. Log hours and materials as they happen, flagged billable or not. This is the difference between an invoice and a guess.
  • Notes and photos in context. Before-and-after photos and site notes stay attached to the job, which settles most disputes before they start.

Invoicing & payments

GST invoices that can be paid from the email

Turn a finished job into a compliant tax invoice, email it, and let the customer pay by card from the invoice itself. Stripe tells GoSmoko when the money lands, the invoice marks itself paid, and Xero or MYOB gets the entry.

  • Built from the job, not from memory. Billable time and materials come across as line items with your margin applied, so what you did is what you bill.
  • Pay now, by card. With Stripe connected, each invoice carries a hosted payment link. Card, Apple Pay, and Google Pay all work out of the box.
  • Reconciles itself. A signed Stripe webhook records the payment, writes the reference, and moves the invoice to paid or partly paid. Duplicate webhook deliveries cannot double-credit an invoice.

Scheduling

See the week, fill the gaps, stop double-booking

A week view of every scheduled job and who is on it. Drag your week into shape in the morning, and everyone can see where they are meant to be without a group text.

  • The whole week at a glance. Jobs sit on the days they are booked for, grouped by who is doing them. Gaps are obvious, and so is the day you have over-committed.
  • Assignments everyone can see. Each job shows its owner, so your crew can check their own day without asking you.
  • Priorities that surface. Urgent work is marked as such, so the callout that matters does not sit behind a routine maintenance visit.

Stock control

Know what is on the van before you drive to the job

Track the materials you hold, what they cost, and where they are. Set a reorder level and GoSmoko tells you what is running low before a job stops for a fitting worth four dollars.

  • Quantities and locations. Record what you hold and whether it is in the shed, on the van, or at a site.
  • Low-stock warnings. Set a reorder level per item and see everything below it in one list.
  • Real cost prices. Unit costs feed straight into job materials, so your margins are based on what you paid, not what you remember paying.

Reporting

The four numbers that tell you how the business is doing

Revenue invoiced, cash collected, what is still outstanding, and where your team's hours went. Enough to run the business, without a dashboard-building exercise.

  • Revenue and collections. See what you invoiced against what actually arrived, so a big month on paper is never mistaken for a big month in the bank.
  • Outstanding and overdue. One list of who owes you what and how late it is. This is usually the highest-value screen in the app.
  • Where the hours went. Time logged by job and by person, so you can see which work is worth quoting for again.

Turn a voicemail into a customer, a job, and a quote

Paste in a phone transcript, an email, or a voice-to-text note. GoSmoko reads it and drafts the customer, the job, and a starting quote with the right GST — then waits for you to check it before anything is committed.

  • Reads the way people actually talk. Names, addresses, phone numbers, and the actual job are pulled out of ordinary messy language, not a structured form.
  • Drafts, not decisions. Everything it creates is a draft you review. Nothing is sent to a customer and nothing is invoiced without you.
  • Priced with your rates. The draft quote uses your GST rate and currency, so it is a starting point rather than a rewrite.
